Do I need to print and bring my own poster to the conference?

Yes. Presenters are responsible for printing their posters and bringing them to the conference. If you are unable to print your poster before traveling, there are several printing providers located near the Halifax Convention Centre that may be able to assist with poster printing upon your arrival. 


What is the cancellation policy? 

All Annual Meeting registration cancellation requests must be submitted in writing to SPR. Cancellations received on or before September 11, 2026 will be subject to a $75 USD administrative fee, with the remaining registration fees refunded after the meeting. Unfortunately, no refunds can be issued for cancellations received after September 11, 2026. Walk-in attendees and replacement attendees are always welcome.


Is there a mobile app for the meeting?

Yes. Attendees will receive an invitation to access the JOYN mobile app prior to the meeting. The app allows attendees to view sessions, exhibitors, presenters, and create a personalized schedule.


What is included with my Annual Meeting registration?

Annual Meeting registration includes access to scientific sessions, poster sessions, keynote and featured presentations, the exhibit hall, networking events, and conference materials. Additional ticketed events, workshops, luncheons, and special programs may require a separate registration fee and can be added during the registration process.


What are the poster presentation specifications?

All poster presenters must present in person and remain at their poster for the full duration of their assigned poster session. Posters must be in landscape (horizontal) orientation and may be up to 8 feet wide × 4 feet high (244 cm × 122 cm). While this is the maximum size allowed, a smaller standard size such as 3' × 4' or 3' × 5' is recommended. Posters will be displayed on freestanding boards, and push pins will be provided. Additional setup instructions, including poster mounting times and locations, will be sent closer to the Annual Meeting. Can I present virtually if I am unable to attend in person?

The SPR Annual Meeting is designed as an in-person conference. Presenters are expected to attend and present on-site in Halifax. Virtual presentations are generally not offered except in limited circumstances approved by SPR leadership. If you have extenuating circumstances that may prevent you from attending in person, please contact the SPR office as early as possible to discuss available options.


I can no longer attend. Can someone present in my place?

Yes. If you are unable to attend the Annual Meeting, another individual may present your poster or presentation on your behalf. The substitute presenter must be registered for the Annual Meeting in order to access the meeting and present. You must notify the SPR office in advance so that we can update our records and ensure the presentation is listed correctly in the program.

Are meals included with my registration?

The SPR Annual Meeting includes coffee breaks and refreshment breaks throughout the conference. In addition, buffet-style food and beverages will be provided during the poster receptions. Attendees who register for optional workshops or ticketed luncheons will receive food and beverages associated with those events. The Business and Awards Luncheon on Saturday includes a plated meal and requires separate registration to attend.


Will there be options for dietary restrictions or food allergies?
Yes. During registration, attendees will have the opportunity to indicate dietary restrictions and food allergies. SPR works with the convention center and catering staff to accommodate common dietary needs whenever possible. If you have specific concerns, please contact info@sprweb.org prior to the meeting.


How do I request accessibility accommodations?

SPR strives to ensure that all attendees can fully participate in the Annual Meeting. If you have accessibility-related questions, require accommodations for meeting programming, or need assistance before or during the meeting, please contact info@sprweb.org as early as possible. Providing advance notice allows us to work with you to identify appropriate accommodations and make every reasonable effort to support your participation throughout the meeting.
